1 APPLICATION INSTRUCTIONS Application for a degree at the San José State University (SJSU) - semester abroad - We are pleased that you are interested in applying to the SJSU. The following application information should help you with the preparation of your application. If you have any questions while preparing your application, please feel free to contact us at any time. BEFORE you apply, you should note the following: 1.) Please clarify the financing of your study project in advance. Studying abroad is very expensive. Auslandsbafög or a PROMOS scholarship are particularly suitable for financial support for a semester abroad. You can find out more about the PROMOS program at your university. 2.) The SJSU can only issue the visa document (I-20) if proof of sufficient knowledge of English is available. Therefore, the proof of language proficiency should ideally already be available when you send us your documents. Further information on accepted language certificates can be found below. Application deadline: There is no specific application deadline for this program. However, we recommend that you apply as early as possible (three to six months before the start of your studies) so that you have enough time to prepare (visa interview, flight booking, etc.) after receiving your admission. For the fall semester, your application should be received by the end of May at the latest, for the spring semester by October of the previous year at the latest. 3.) If possible, please try to clarify the recognition of the courses taken at the SJSU with your home university before starting your studies abroad. The recognition does not have to be clarified at the time of application, as the course schedule for the coming semester is often not yet fixed at the time of application. However, please have your German university confirm in writing that the courses you have taken abroad can at least partially be credited (e.g. in the form of a learning agreement) before the start of your studies. 4.) Please note that every student who wants to study in the USA has to conduct a personal visa interview in a US consulate (Berlin, Munich or Frankfurt). You will receive information on applying for a visa and on the visa interview from us together with your admission. 5.) You need a passport to apply for a visa. If you do not yet have a valid passport, please apply for one. It can take up to 8 weeks to receive your passport. If you already have a passport, please check whether it is still valid long enough. 1
2 5 steps to study at the SJSU Your application step by step: Step 1: Creating your application Please print out the application form in our online application center. Put together your application (you can find a checklist with all the required documents below). At the same time, you should clarify the crediting of courses at your home university and clarify the financing. Step 2: Send your application to our office in Hamburg Please send us the completed application form, proof of sufficient financial means (see below) and proof of language skills as well as a copy of your passport or identity card as soon as possible so that we can help you with the next one Can support the organization of your semester abroad. The remaining application documents can be submitted until departure. In the case of submitted copies, please bring the original documents with you to San Diego when you start your studies. Optional: Please copy the application form first and fill out the copy. Send us the copied and completed application form by fax or scanned in to the fax number for verification. We will give you feedback on your application by phone or by fax (please specify your preference and contact details in the fax). If you do not want your application to be checked in advance, you can of course also send us your fully completed application documents directly by post. We will then check your documents after receiving the original documents. However, we recommend that you submit your documents to us at least three months before the start of your studies. Step 3: Examination and forwarding of your application After the examination, we will send your application to our contact person at SJSU. If documents are still required or details in the application form need to be changed, we will let you know. If your application is complete and in order, you will receive a confirmation from us that your application has been forwarded. 2
3 Step 4: Receipt of your admission After approx. 1-4 weeks you will receive your admission and your I-20 form, which you will need to apply for your visa, upon acceptance at the university. In our acceptance package, we will also send you some hints and tips for the upcoming visa interview, payment of the SEVIS fee (Student and Exchange Visitor Information System) as well as helpful information on international insurance, vaccinations and flight booking (via our STA flight request form Travel you will receive a 3% discount). Step 5: the visa interview After you have received your I-20 form, please make an appointment for the visa interview at the American consulate responsible for your place of residence (Berlin, Frankfurt or Munich). You will receive visa information from the embassy from Monday to Friday between 7 a.m. and 8 p.m. by phone or fax: (1.86 / min.). You will receive more detailed information on applying for your visa from us after your admission to the SJSU. 4 The application form: General information on filling out the application form: Please fill out your application in BLOCK CAPITALS and legibly Please fill out your application in English Please make sure that the numbers are correct in American spelling: the 1 is written as a single dash (I) and the 7 without a slash (7) In English there are no umlauts and no ß. So please write instead of ä, ö, ü or ß ae, oe, ue and ss. When creating your application, please make sure that you use the same spelling as in your passport (e.g. for your name). Basic Information: First + Middle Name: please enter your first name (as it is in the passport) Family Name: please enter your last name here Date of Birth: please enter your date of birth here. Please note that Americans name the month first, then the day, then the year. For example, if you If your birthday is on October 5th, please enter 10/05/1989 here. Gender: please tick whether you are male or female Foreign Address: Country of Birth: here please enter the country in which you were born Country of Citizenship: this will usually be Germany and enter here please enter the country for which you have the citizenship or which issued your passport. Permanent Home Country Address: Please enter the address at which you can be reached (if possible even after your departure). This can e.g. be your parents' address. If you would like your admission to be sent to a different address, please enter the relevant address in the magoo contact form when you apply to us. US Address: If you already have an address in the USA, please enter it here. Education Information: Have you graduated from a college or university? If you have already completed a degree, please enter the requested data here. Otherwise check NO. Have you taken the TOEFL within the past 2 years? If you have taken the TOEFL test in the last 2 years, please enter the requested data here. Otherwise check NO. Have you taken any other English test? If you have taken another English test (e.g. IELTS or DAAD), please enter the requested data here. Dependent Visa (F 2) Will you bring a spouse and / or children under the age of 21 with you as F-2 dependents? If you are taking your wife or children with you to the USA, please tick YES. 4th
5 Application Fee: The application fee of US $ 150 is paid by credit card. The tuition fees will be paid separately at a later date. Please indicate here whether it is a Visa card or a Mastercard. The 16-digit credit card number must then be entered in full. In addition, please indicate when the card expires (Exp. Date) you can also find this information on the credit card. Usually the month and year are given, e.g. 02/11 for February Since the San José State University now has its application system online, we also need the security number of the credit card, as the application fee is now debited like an online payment. You can find this security number on the back of the credit card; it is the last three digits in the signature field. Please send them to us separately or give them to us by phone so that abuse can be avoided. If you do not agree that we can carry out this online transfer for you, you can leave the credit card details blank. Then we will contact you after entering your data in the online system so that you can then make the payment yourself. Please note: This variant takes more time and can be a disadvantage if you apply at short notice. If you do not have your own credit card, you can also enter the credit card details of a friend or relative here. The owner of the card must be specified under Cardholder s name and signed under Cardholder s Signature. If it is not your own credit card, please indicate under relationship to student the relationship between the credit card holder and you (e.g. father). Transcripts: If you are NOT YET studying: Please get a copy of your university entrance qualification (e.g. Abitur) certified by your school (e.g. high school) or the responsible administrative office in your place of residence. Please also translate the respective certificate into English. You can find a template for this in our application information for all interested parties in the online application center. Sending the Abitur certificate is optional for all applicants who are already studying in Germany. Abitur graduates who would like to take part in the program and are not yet enrolled at a German college / university must submit their Abitur certificate. If you are already studying: Please have your university in Germany (or Austria or Switzerland) prepare a list of all courses / certificates (transcripts) you have completed so far in English. This list should contain all courses and the respective grades as well as a conversion scale (e.g. 1 = very good). In addition, the courses currently being taken should also be listed (without grades). Please make sure that the transcripts are printed out on the official letterhead of the home university or that they are stamped by the home university. If your university does not issue your transcripts in English, please use our transcripts template to translate your transcript of records (you can find them in the online application center). Please sign it and have it stamped by your university. 5
6 Proof of the required financial resources (financial support document): If you are studying in the USA, the tuition fees can usually be paid until shortly before the start of your studies. In order to be able to ensure that students have sufficient financial means for their study stay in the USA, students must prove to the respective US university that the corresponding funds are available and available. The university may only issue the I-20 document with which you can apply for your student visa once you have received the relevant proof. If you want to go to the USA for a semester, you must be able to provide evidence of sufficient funds for one semester; if you want to go to the USA for a full course of study (or a study period longer than a year), you must prove sufficient financial means for the first year of study. Proof of sufficient financial means to cover tuition fees and living expenses must be provided. At the SJSU, a total amount of US $ must be proven for the 2013 semester. According to your Source of Funds specified in the application form, proof can be provided by ONE of the following options: 1.) Confirmation of the financial sponsor by letter (e.g. confirmation statement from the Bafög office). When applying for an Auslandsbafög, please note that, depending on the exchange rate, the confirmation statement may not be sufficient as the sole proof. Since the Auslandsbafög office does not cover all of your tuition fees and travel expenses, please provide additional financial confirmation of the difference between the funding amount and the required financial amount. OR 2.) Copy of a current bank statement (this should be stamped by the bank) showing sufficient financial resources. The bank statement can come from your account or from your sponsor (e.g. parents). If the account statement is issued to someone else's account, the respective person must be mentioned under Affidavit of Financial Support on the application form and signed. OR 3.) Confirmation letter from the bank (on official bank stationery) This is a sample text that your bank can use to create the confirmation: FINANCIAL STATEMENT We hereby confirm that Mr./Mrs. XXX (you or your parents) has sufficient funds to pay for his / her / xxx (if the confirmation is issued by your parents' bank, please state your name here, e.g. Markus Miller s) tuition and living expenses for one semester / year at San José State University. The bank account shows a balance of (at least) US $ XXXX ((costs of the selected study program plus around US $ per month living costs plus the cost of international health insurance (from around 35 euros per month). 7 Proof of language proficiency: The SJSU accepts the following proof of language proficiency for the semester at the SJSU program: TOEFL IELTS DAAD Test TOEFL (see our information sheet on TOEFL). Please submit a copy of the TOEFL result with your application. For admission you need at least a test result of 71 points (internet-based). As a rule, it takes at least 4-5 weeks from registration to receipt of the test result. Alternatively, you can also take an IELTS test with a result of at least 6.0 points. The DAAD test (language test of the German Academic Abroad Service) is also recognized with a result of at least B2. The DAAD test is offered at many universities in Germany and is usually cheaper than the other language tests. It is best to find out more at the language center at your university. The San José State University can only issue the I-20 (document required to apply for a visa) once proof of language skills is available. Note on course selection at SJSU: After admission to the San José State University, you will receive an from the university with the request to provide a preliminary course selection. The SJSU will then check the requirements for your desired courses. However, it can only be decided on site which courses you can definitely attend, as this depends on the available places. You will receive information on this course selection process from us together with your admission papers. Which courses from the course catalog are actually offered in your semester is decided a few weeks before the start of the course. In order to fulfill the status of a full-time student (visa requirement), you must complete courses with at least 12 US credit points (undergraduate level) or 9 US credit points (graduate level) per semester. This corresponds to a number of approx. 4 courses (undergraduate level) or 3 courses (graduate level). This information relates to the fall and spring semester.
